SOP | Permalink Shortening

The following information contains the Standard Operation Procedures for the Content Manager when shortening permalinks. All information is accurate up to the 14th of August 2019.

  1. Open up the WordPress Admin website.
  2. On the left hand side, search for the button labelled Pretty Links.
  3. Hover over and select “Add New”.
  4. Paste the destination URL into the box labelled Target URL.
  5. Modify the slug in the box labelled Pretty Link to whatever you want the shortened URL to be.
  6. Click “Create”.
  7. Test if the link works in an Incognito Browser Window.
    1. This ensures back-end access doesn’t cause any disruptions.

  1. Open up Safari.
  2. Go to ‘Bookmarks’.
  3. Tap RMRS OneSignal.
  4. Follow standard SOPs for checking Push Notifications.

 

ManyChat

  1. Open up Safari.
  2. Go to ‘Bookmarks’.
  3. Tap RMRS ManyChat.
  4. Follow standard SOPs for checking Facebook Notifications.

 

InfusionSoft

  1. Open up Safari.
  2. Go to ‘Bookmarks’.
  3. Tap RMRS InfusionSoft.
  4. Follow standard SOPs for checking Email Notifications.

SOP | Thumbnail Testing

The following contains the Standard Operation Procedure for the Content Manager when testing thumbnails on the Real Men Real Style Website. Information is accurate to the 3rd of July 2019.

Starting a Thumbnail Test

  1. Open the WordPress Admin for the Real Men Real Style website.
  2. Click “Settings” on the left hand side panel.
  3. Click “AdInserter Pro”.
  4. Click the slots at the top of the window labelled 17-32.
  5. Note that thumbnail testing occurs in slots 21 (top of home page) and 22 (bottom of home page).
  6. Upload all thumbnails to the WordPress Media Library.
  7. Get the URLs of each thumbnail by opening the uploaded thumbnail in a new tab.
  8. Put the following code into the HTML editor of slot 21 and 22:

    <a href=”YYY” target=”_blank” rel=”nofollow”><img src=”XXX”></img></a>

  9. Replace the “YYY” with a link to a similar video to the thumbnail.
  10. Replace the “XXX” with the thumbnail URL.
  11. Underneath this code, add the following;

    [ADINSERTER ROTATE]

  12. Repeat Steps 8-11 for every thumbnail, seperated by one empty line.
  13. The final thumbnail doesn’t need step 11.
  14. Click on the name of the block and update it with the title Thumb Testing StartDate – Video Title.
  15. Click “Toggle Statistics”.
  16. Click the “Clear” button next to the “Play” button.
  17. Click “Save Settings” and exit the plugin.
  18. Update the CM sheet with testing dates.

 

Determining the Winner of a Thumbnail Test

  1. Follow steps 1-5 of the previous section.
  2. Click “Toggle Statistics”.
  3. Click “Toggle Tools”.
  4. Click “Toggle Rotation Editor”.
  5. Click “Preview” to see the image.
  6. This provides a screen with thumbnail details including the letter assigned to each thumbnail.
  7. Get the details of the winner, and upload all thumbnails and statistics into a single image.
  8. Untoggle “Rotation Editor”.
  9. Untoggle “Tools”.
  10. DO NOT CLICK “SAVE STATISTICS”.
  11. Upload this image into InfluenceKit and tag the YouTube Manager, Writer, Videographer and Content Manager.

SOP | Content Manager’s Daily Tasksheet

June 20, 2019 RMRS1

The following information contains the Content Manager’s Daily Tasksheet. All information is accurate up to the 19th of August 2019.

Regular Day Tasksheet

  1. If today is a day of release, follow the Day of Release Tasksheet.
  2. Go into InfluenceKit and check to see if there have been any changes in upcoming content.
  3. Follow up on quick emails, such as information-related or update emails.
  4. Follow up on any critical emails or emails from Antonio.
  5. Follow up on video review emails, and send either recorded or text reviews to the videographers.
  6. Follow up on article related emails, and send off either recorded or text feedback to writers.
  7. Check all upcoming push notifications, FB bot and emails to go out.
    1. Follow the checklist as described by the Notification, Email and FB Bot Checklists.
  8. Prepare for any meetings coming up in the day.
  9. Any changes in schedule need to be followed up on, and ensuring that nothing will be released that doesn’t need to be released.
  10. Update KPI with hours spent.
  11. Send CEO a daily update email containing the number of calendar and content days ahead, the completion % of the current and following month, today’s rolling average, the current content schedule status (via a stacked column graph) and what is needed to get ahead.

 
Day of Release Tasksheet

  1. Go into InfluenceKit and check if there have been any title changes or any other changes that will need to be followed up on.
  2. Go into Subscribers.com, InfusionSoft, OneSignal and ManyChat and check all notifications, messages and emails.
    1. Follow the checklist as described by the Notification, Email and FB Bot Checklists.
  3. Go into WordPress and check the article.
    1. Follow the checklist as described by the CM Article Review Checklist.
  4. Check that the YouTube video is ready to release.
    1. Follow the checklist as described by the YouTube Back-End Checklist.
  5. Continue with the Regular Day Tasksheet.

SOP | Article Review Checklist

June 16, 2019 RMRS1

The following information contains the Standard Operation Procedures for the Content Manager to follow when reviewing articles scheduled by the RMRS writers.

Draft Article Review Checklist

    1. Check InfluenceKit to see what articles have been assigned to each writer.
    2. Check to see if the article being drafted has been scheduled/accepted, or whether its status has changed to proposed.
      1. If it has changed to “Proposed”, do not review it unless there are no other articles to review.
      2. If it has NOT changed, continue down this list.
    3. Open the RMRS WordPress website.
    4. Click “Posts” on the left-hand side of the website.
    5. Find the article you are looking for.
    6. Check that under “Author”, the name Antonio appears.
    7. Click the “Edit” button underneath the title of the article.
    8. Read through the whole article, and make notes of grammar/spelling mistakes.
    9. Read through the article and ensure there are no large paragraphs, and that the majority of sentences are bite-sized.
    10. Check that a minimum of three categories have been selected, including All Articles-Podcasts-Videos-Primary.
    11. Check all the images, ensuring that they are clear, that they have alt text and any links open in a new window.
    12. Check all internal and external hyperlinks work and open in a new window.
    13. If it is a sponsored post, ensure that the sponsor CTA is identical to the one in InfluenceKit.
    14. Make sure that both CTAs are identical.
    15. Make sure that all subheadings are created in H2 formatting.
    16. Check that there is a double space after each section.
    17. Check that there is a summary at the end.
    18. Check that any anchors work properly.
    19. Click “Text”.
    20. Check to make sure there is no unneeded formatting.
    21. Open LOOM and record a feedback video and send it to the writers.
    22. Mark off the Article Draft column of the Content Management Spreadsheet as Ready.
    23. Ensure Gavin is CC’d.

 

Final Article Review Checklist

  1. Complete steps 1-20 of the Draft Article Review Checklist.
  2. Check that the video is embedded in the article using the code provided in the Perfect Article Checklist.
  3. Check that the links to the video in the embed are the correct final video copy.
  4. Check that the sponsor CTAs and links are correct as given by the Menfluential Media Liason in InfluenceKit.
  5. Check that the featured image has been uploaded and assigned.
