SOP | How To Schedule Emails In Infusionsoft

Emails

Drafting

  • Login to keap.com and click Email & Broadcasts > Send a Broadcast.
  • Click the ‘Get Started’ button and go to Actions > Create Blank Email.
  • Where it says ‘From: The contact’s owner’ click the pencil and select Antonio Centeno <antonio@realmenrealstyle.com> and SAVE THE CHANGE
  • Click in the ‘recipients’ field and select
    ‘001. RMRS -> 001-Broadcast-All-Finished’
  • Enter an attention-grabbing subject line
  • Add preview text – a ‘sneak peek’ to hook readers further
  • Use TestSubject to check how they look on mobile
  • Go to ‘Merge’ on the blue bar > Contact Fields (most common) > First Name
  • It should now say ~Contact.FirstName~. Add a comma after.
  • Write or paste in your email
  • If sponsored, include a sponsor link with some variant of ‘Click here to check out x’ near the beginning, and the FINAL, SHORT video link in the P.S. (Just put text if you don’t have links yet.)
  • If sponsored, include any discount code.
  • If non-sponsored, put the FINAL, SHORT video link in the text and either the article link or a personal touch in the P.S. Or ask for an email reply.
  • “Always sign off ‘Semper Fi, Antonio’
    (or ‘Semper Fi, Antonio ‘[something funny]’ Centeno’)”
  • If you’ve pasted anything in, check the text colour is #343434
  • The draft will save automatically and you can click ‘Exit’
  • In the Content Team Schedule Spreadsheet under ’email list’ type in ‘drafted’ and change the cell colour to orange.

Adding and Creating Tags

Tags help track the number of clicks each link receives. They can be created directly from the draft of the email.

  • When adding a URL, click the link icon.
  • Insert the correct URL.
  • Select the small tag with a + icon
  • Where it says ‘Select a tag…” enter the tag you want to create. (For example nov-21-19-video)
  • From the drop-down menu ‘Choose Tag Category’, select ‘077.Email-Stats’
  • Click Create.
  • Click Done to add the tag.

Scheduling

  • Add any missing links.
  • Make sure links have no spaces at the end or beginning
  • Tag links. The tags follow the pattern: first 3 letters of the month-date-year-video/sponsor
  • Send a test email to yourself, Gavin, and Steven and check all the links work (the video link won’t be live yet, but it will say the video is private).

The following information contains the Standard Operation Procedures for the RMRS Holiday Promotional pieces of content.

Holiday Promotion Content includes a Holiday Gift Guide (released in the 2nd to last week of November) and a Black Friday Guide (released in the last week of November).

 

Holiday Gift Guide SOP

The Basics + Purpose

  • The goal of the holiday gift guide is to provide our readers with a specific list of items that we recommend they purchase.
  • Some of these items should be from our sponsors, but some can also be affiliate links, or even just links to items that we think are awesome and provide value to our readers.
  • The length of the article varies, in some years we have done over 100 items, in others we have done less than 30, but a general rule is to have at least 3o items on this list.
  • This guide is to be very image heavy and image-focused.
  • There will be no video for this guide.
  • We can then also provide a small description as to why this item is one of the best gifts for men.
  • We want a variety of items, style related and also non-style related that any man would love.
  • We can use parts of previous guides as well, there’s no need to rewrite completely from scratch, but we want to be checking links and updating as required.
  • The writer must coordinate with the thumbnail artist who will create a 1280×720 size banner.

The General Structure For Each Item

Number. Brand – Item Name (all hyperlinked directly to the item)

  • Sponsor Code (if available) alongside a small CTA.
  • A small description of the item, and why a man should buy this or why a man would love this as a gift.
  • A clear, crisp and attractive image, linking to the item or to the sponsor. The caption will also contain a CTA to the image and will be linked to the image.

Important Additional Features/Notes

  • This is not a sponsored post, so we enable ads and do not tag novideo in the WordPress back-end.
  • This article requires a featured and header image.
  • This article must be highly SEO optimized, but does not need to conform to YOAST or the readability reading.
  • The Content Manager will contact sponsors and ask if they had any specific tracking

SOP | Non-Working Links In YouTube

The following information contains the Standard Operation Procedures for any YouTube post in which a link that was previously working before release is no longer working or is working intermittently. All information is accurate to the 3rd of December 2019.

 

Link Types and Definitions

  • An Internal Link is defined as any link that Real Men Real Style has control over (article links, affiliate links, website links, course links, etc).
  • A Sponsor Link is defined as any link received from RMRS Paid Sponsors.
  • Other Links are defined as any link that does not meet the above criteria.

 

Non-Working Internal Links

  • If an internal link is said to be not working, open the video in two browsers, use incognito mode and clear your browser cache and check the link yourself. 
  • If the link doesn’t work in both, contact the Content Manager and the Chief Technical Officer, and let them know what link it is and what the error code is.
  • Remove the link from the description of the video and wait until you recieve a corrected link.
    • If viewers have noticed and are commenting on it, thank them and let them know we are aware of the problem and are working to fix it.
  • Once a corrected link has been received, check it again and then add into the description.
  • Contact the Content Manager and provide the important information who will then prepare an After Action Report for the DO and CEO if necessary.

 

Non-Working Sponsor Links

  • If a sponsor link is said to be not working, open the video in two browsers, use incognito mode and clear your browser cache and check the link yourself.
  • If the link does not work, the Social Media Manager is to contact the team at MENfluential (and CC the Content Manager, Director of Operations and the CEO) and inform them of exactly whether the link works and what the link directs to.
  • Remove the link and replace with a link to the homepage of the sponsor.
  • If people are commenting/complaining about the link, let them know we are aware of the problem and are working to fix it.
  • The CM, DO or CEO will then contact the team at MENfluential with an URGENT email headline requesting for the problem to be solved.

SOP | How To Schedule Push Notifications in One Signal

Push Notifications

Drafting

  • Login to app.onesignal.com and click anywhere on the blue chart under ‘Total Users Per Day’.
  • Click on ‘Messages’ and select the button ‘New Push’
  • Under Part 2 ‘Message’ fill in a catchy title (article title will do) – it won’t let you go over 48 characters so short & sweet!
  • Fill in the message – like a preview text/subheading, get people interested
  • Scroll to Part 3 ‘Schedule’
  • Under Delivery, select ‘Begin sending at a particular time’.
  • Insert the correct date and time in YOUR time zone.
  • Check off ‘Intelligent delivery (recommended)’
  • Select ‘Save as draft’
  • In the Content Team Schedule Spreadsheet under ‘push notifications’, type in ‘drafted’ and change the colour of the cell to orange.

Scheduling

  • From the ‘Messages’ drop-down menu (next to ‘new push’) select ‘Drafts’
  • Find your draft from before (the message portion of the notification appears not the title so it might look strange, but searching by the date is helpful)
  • Add the final (not preview) article URL under ‘Launch URL’
  • Add the image URL. Find this by opening the article (you must be logged in to WordPress to access it), right-click on the header image and click ‘copy image address’
  • Check that the delivery date and time are correct (should be YOUR time zone)
  • Make sure ‘Intelligent delivery (recommended) is selected
  • Click Confirm
  • Make sure all the details are correct in the ‘Confirm Before Sending’ pop-up box and click ‘Send Message”
  • In the Content Team Schedule Spreadsheet under ‘push notifications’ type in ‘scheduled’
  • (If email, bot, and push notification are all scheduled) Comment in IK, tagging Gavin and Sam to notify them that everything is scheduled
  • No amends after Sam checks it unless absolutely necessary.
  • Had to change something? Notify him to check again!

SOP | How to Schedule Facebook Bots on ManyChat

Facebook Bots

Drafting

  • Login to manychat.com and click Broadcasts > New Broadcast.
  • Select I want to start my broadcast with… ‘Messenger‘
  • Where it says ‘Content’ at the top, type in the date of the broadcast and a word or two to identify the topic (Example: Nov. 1. Tie Types).

Writing

  1. Write a question or engaging statement that requires an answer where it says ‘Click to add text in the sidebar’
  2. Add a button with a possible answer as the Button Title (<20 characters)
  3. Click ‘Send message’ and write a message about the video
  4. Add a button with a CTA (e.g. ‘watch now’, ‘let’s see!’) as the button title (<20 characters)
  5. If ready, put video URL where it says ‘Website address’
  6. Add a button with a second possible answer as the title (<20 characters). Repeat steps 3- 5.
  7. Add a third possible answer the same way if wanted. Repeat steps 3-5.
  8. Check the message says ‘✓ Saved’. Your draft will be saved automatically.
  9. In Content Team Schedule Spreadsheet, under ‘FB Bot’ column type ‘drafted’ and change colour to orange.

Scheduling

  • Paste URLs into answers where it says ‘Website address’
  • Click ‘Go Next’ and keep ‘Subscription Content’ selected
  • Under Schedule Broadcast select ‘Schedule for later’
  • Select publication date (double-check in InfluenceKit)
  • Select publication time in YOUR time zone.
  • Click ‘Schedule Message’
  • In Content Team Schedule Spreadsheet, under ‘FB Bot’ column type ‘scheduled’
  • (If email, bot, and push notification are all scheduled) Comment in IK tagging Gavin and Sam to notify them that all posts are scheduled
  • No amends after Sam checks it unless absolutely necessary.
  • Had to change something? Notify him to check again!
