How To Check Email, Bot, And Push Notification Stats

Don’t worry – this takes a long time to explain, but it’s really quick to do!

  • Here’s the stats spreadsheet (we only care about the tab ‘Broadcasts from INFUSIONSOFT’ – everything else is old info and no longer updated).
  • Check broadcast stats at 7am CST on Sunday, Monday, Wednesday, and Friday (24 hours after each video goes live). Set an alarm to remind yourself!
  • Check subscriber stats at 7am CST on Mondays, right after broadcast stats.

Checking Broadcast Stats

  • Add a row at the top of the spreadsheet and put YESTERDAY’S day and date in the first column.
  • Login to keap.com.
  • Go to Email & Broadcasts > View Email Broadcasts and click Search.
  • Find the email that was sent 24 hours ago and click View.
  • Put the email subject line in the Subject column on the spreadsheet.

Fill in the blue ‘Email’ section.

  • Right under ‘Broadcast stats’ you’ll see ‘Total delivered’. Put that number in the ‘Total Sent’ column.
  • On the next line down, look to the right and you’ll see the open rate (it’s a percentage). Put that in the ‘Open Rate’ column.
  • Look another line down and you’ll see the click rate (also a percentage). Put that in the ‘Click Rate’ column.
  • If yesterday’s video had no sponsor or article: look to the left and you’ll see ‘Clicks: Unique’. Put that number in the ‘Clicks To Video’ column.
  • Otherwise: Mouse over the green logo at the top left and you’ll see a drop-down menu.
  • Under ‘CRM’ click ‘Settings’.
  • On the left, click ‘Tags’.
  • Scroll down till you see the tags for yesterday’s email. They’ll be ‘[date]-Video’ and either ‘[date]-Sponsor’ for a sponsored email or ‘[date]-Article’ for an unsponsored one.
  • Click ‘Show Number’ beside each one.
  • Put those numbers in the ‘Clicks To Sponsor’, ‘Clicks To Video’, and/or ‘Clicks To Article’ columns.
  • If your email took an unusually long time to deliver, the numbers will be lower than usual. Put ‘AR 25‘ in red in the ‘Weekly Net Subs’ column so we know why.

Fill in the green ‘Facebook Bot’ section.

  • Login to Manychat.
  • Click on ‘Broadcasting’ on the left.
  • Scroll down to ‘History’ and find the chatbot that was sent yesterday. (Ignore the ones that say ‘YouTube Post’.)
  • Under ‘Sent’ you’ll see a number. Put that in the ‘Total Sent’ column.
  • Under ‘Read(%)’ you’ll see a number with a percentage in brackets. Put the percentage in the ‘Open Rate’ column.
  • Under ‘Clicks/CTR’ you’ll see a number with a percentage in brackets. Put the percentage in the ‘Click Rate’ column.
  • Put the number in the ‘Clicks To Sponsor’ column if the bot linked to the sponsor, or in the ‘Clicks To Video’ column if it didn’t.

Fill in the yellow ‘Push Notification’ section.

  • Login to https://app.onesignal.com/
  • Scroll up and look for “Delivery” on the top menu bar.
  • You’ll see all the stats for the past push notifications. Check for the date of the push notification you wanted to record.
  • Add numbers from “Sent To” to the “Total Sent” column in the spreadsheet.
  • Add percentage from “Click” to the “CTR” column in the spreadsheet.

Checking Weekly Subscriber Stats

  • Add another row at the top of the spreadsheet and put TODAY’S day and date in the first column.

Fill in the blue ‘Email’ section.

  • Go back to keap.com.
  • Mouse over the green logo at the top left to get the drop-down menu.
  • Under ‘Marketing’ click ‘Reports’.
  • Under ‘Report Title’ click ‘Email Status Search’.
  • Hold down Ctrl and under ‘Email Status’ select both ‘Confirmed (Legacy)’ and ‘Confirmed’.
  • Go to ‘Misc Criteria’ and scroll down to where it says ‘Date Created’.
  • Click the first calendar icon by ‘Date Created’ and select last Monday.
  • Click the second calendar icon and select yesterday.
  • Scroll down to the bottom and click the green Search button.
  • Scroll up and at the top left you’ll see ‘1-50 of [some number]’.
  • Put that number in the ‘Weekly Net Subs’ column.

Fill in the green ‘Facebook Bot’ section.

  • Go back to Manychat.
  • Click ‘Dashboard’ at the top left.
  • You’ll see a calendar icon with a date range on the right. Click the icon.
  • Click ‘Last 7 days’ on the left and ‘Apply’ on the right.
  • Scroll down and you’ll see a number above ‘Net Subscribers’.
  • Put that number in the ‘Weekly Net Subs’ column. (If there’s a minus sign, include it.)

Fill in the yellow ‘Push Notification’ section.

  • Go back to subscribers.com.
  • Near the top of the Dashboard page you’ll see numbers for ‘Today’, ‘7 Days’ and ’30 Days’.
  • Put the number for ‘7 Days’ in the ‘Weekly Net Subs’ column. (There WILL be a minus sign here because we’re not collecting new subscribers on subscribers.com.)

AND YOU’RE DONE! If anything abnormal happened, you can make a note of it in the column to the right of the ‘Push Notification’ section.
